PRIVACY POLICY

This Privacy Policy explains how VoidHosts ("we", "us", or "our") collects,
uses, discloses, and protects personal information in connection with our
game server hosting, billing, and related services (the "Service"). It
applies to visitors of our website and to customers who create an account
or purchase a service from us.
We handle personal information in accordance with the Personal Information
Protection Act (Alberta) ("PIPA") and, where applicable to information
collected or disclosed in the course of interprovincial or international
commercial activity, the federal Personal Information Protection and
Electronic Documents Act ("PIPEDA"). If you are located outside Canada,
additional rights under your local law (for example, the EU/UK GDPR) may
also apply to you; see Section 10.
1. INFORMATION WE COLLECT
We collect the following categories of information:
- Account information: name, email address, username, password (stored in
hashed form), and billing/contact address.
- Payment information: billing details needed to process a transaction.
Full card numbers are processed and stored by our third-party payment
processor(s) [name the processor(s) you use, e.g. "Stripe" and/or
"PayPal"], not by us directly; we retain only what is needed for
invoicing, such as the last four digits of a card and transaction
status.
- Service and technical data: your server's configuration, startup
parameters, and resource usage (CPU, memory, disk, bandwidth); IP
addresses used to access the panel or connect to your server; console
and command logs where reasonably necessary for support, security, and
Fair Usage Policy / Acceptable Use Policy enforcement as described in
our Terms of Service.
- Support communications: the content of support tickets, live chat, or
emails you send us, and any files you attach to them.
- Website usage data: IP address, browser type, device information, pages
visited, and similar data collected automatically, including through
cookies (see Section 6).
We do not knowingly collect sensitive personal information (such as health
information, government identification numbers, or financial account
numbers beyond what is needed for payment processing) unless you provide
it to us directly, for example in a support ticket, in which case we use
it only to resolve that request.
2. HOW WE USE YOUR INFORMATION
We use the information described above to:
- Create and administer your account, and provide, operate, and maintain
the Service.
- Process payments, issue invoices, and manage billing, including
detecting and preventing fraud and chargebacks.
- Provide customer support and respond to your requests.
- Monitor for, investigate, and act on violations of our Terms of
Service, Fair Usage Policy, and Acceptable Use Policy, including abuse
such as unauthorized cryptocurrency mining, network attacks, or resource
abuse.
- Maintain the security, integrity, and reliability of our infrastructure.
- Send you service-related communications (billing notices, maintenance
notices, security notices) and, where you have consented, marketing
communications, which you may opt out of at any time.
- Comply with legal obligations and respond to lawful requests from public
authorities.
We only use personal information for the purpose it was collected for, or
for a reasonably related purpose, unless we obtain your consent or are
permitted or required to do otherwise by law.
3. CONSENT
By creating an account or purchasing a service, you consent to the
collection, use, and disclosure of your personal information as described
in this Policy. Where required by law, we will seek additional consent
before using your information for a new purpose. You may withdraw consent
for optional uses (such as marketing emails) at any time by contacting us
or using the unsubscribe option in those communications; withdrawing
consent for information necessary to operate the Service (such as billing
information) may mean we are no longer able to provide the Service to you.
4. HOW WE SHARE YOUR INFORMATION
We do not sell your personal information. We may share it with:
- Payment processors, to process transactions on our behalf.
- Infrastructure and node providers that host the physical or virtual
servers your Service runs on, to the extent necessary to deliver the
Service.
- Service providers who support our operations (for example, email
delivery, support ticketing, or analytics tools), under obligations to
protect your information and use it only for the purpose we specify.
- Law enforcement or regulators, where required by law, to comply with a
legal process, or to protect the rights, property, or safety of
VoidHosts, our customers, or others (including reporting illegal content
as described in our Acceptable Use Policy).
- A successor entity, in the event of a merger, acquisition, or sale of
assets, subject to that entity honoring the commitments in this Policy.
5. DATA RETENTION
We retain personal information for as long as your account is active, and
afterward for as long as needed to comply with legal, accounting, or
reporting obligations, resolve disputes, and enforce our agreements.
We will retain for 14days after account closure and immediately delete all
server data. When information is no longer needed, we delete or anonymize it.
6. COOKIES AND SIMILAR TECHNOLOGIES
We use essential session cookies to keep you logged in to the client area
and panel; these are required for the Service to function and cannot be
disabled without losing the ability to log in.
We use Cloudflare for security and performance, including DDoS protection
and bot mitigation. Cloudflare may set its own cookies for these purposes
as part of delivering our website and panel to you. We do not use Google
Analytics or any other third-party analytics or advertising trackers.
Where we use non-essential cookies, you can control them through your
browser settings; blocking essential cookies may prevent parts of the
Service, such as logging in, from working.
7. SECURITY
We use reasonable administrative, technical, and physical safeguards to
protect personal information against unauthorized access, use,
disclosure, alteration, or destruction, including access controls on our
panel and infrastructure. No method of transmission or storage is
completely secure, and we cannot guarantee absolute security.
8. YOUR RIGHTS
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Withdraw consent for uses that are not necessary to provide the
Service, as described in Section 3.
- Request deletion of your personal information, subject to our legal and
legitimate business retention needs described in Section 5.
To exercise any of these rights, contact us at admin@mhsystems.ca. We will
respond within a reasonable time and as required by applicable law.
If you are not satisfied with our response, you have the right to
complain to the Office of the Information and Privacy Commissioner of
Alberta, or, where PIPEDA applies, to the Office of the Privacy
Commissioner of Canada.
9. CHILDREN'S PRIVACY
The Service is not directed at, and we do not knowingly collect personal
information from, individuals under 18 years of age, consistent with the
eligibility requirement in our Terms of Service. If we learn we have
collected personal information from someone under 18 without appropriate
consent, we will delete it.
10. INTERNATIONAL USERS
Our infrastructure and service providers may be located in Canada or in
other countries. By using the Service, you understand that your
information may be transferred to, stored, and processed in a country
other than your own, which may have different data protection laws. If
you are located in the European Economic Area, the United Kingdom, or
another jurisdiction with its own data protection law, you may have
additional rights under that law; contact us at admin@mhsystems.ca to
exercise them.
11. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. Material changes will
be posted on this page with an updated "Last updated" date, and where
practical we will notify active customers by email at least [14 days]
before the change takes effect. Continued use of the Service after a
change takes effect constitutes acceptance of the revised Policy.
